FORBES HALL VIRTUAL CARE STATION
ACCESS INSTRUCTIONS
To access virtual care at Forbes Hall Virtual Care Station, please follow this guide:
Set up an appointment with your care provider.
You will need a working email address that you can connect to remotely through your email account’s webpage (i.e., Gmail / Google)
If you do not have a working email address, you need a trusted friend or family member to access the service using their email. They will also need to attend the appointment, as it will be accessed through their email.
To schedule an appointment, open the Care Station Calendar.
Call your medical provider (i.e., Doctor / NP). Use the calendar to schedule an appointment. You will need to book the Care Station 15 minutes in advance of the appointment. If that lead time is not available, you will need to find an alternate time. Virtual Care appointments are for 1 hour. Total time booked must be 1:15 hours, this time allows for privacy between clients and cleaning of room.
Give your medical provider the Forbes Hall Station’s location, address, and phone number.

When you and your medical provider have an agreed-upon appointment time, open the Virtual Care Station Booking Form https://forms.gle/Cx719NLYy2PBa2zx9
Both the Calendar and the Booking Form can be found on the front page of www.thetisposts.ca on upper right side of the page, under Health Care.
The form is set to reply with a confirmation email of the information you entered. You will also be contacted by email from health@forbeshall.ca with confirmation of your booking. Either of these response emails could go to your Junk file, so please check there if they don’t arrive in your Inbox. The form copy should arrive within minutes, while the response email can take up to 24 hours.
Contact health@forbeshall.ca if you have any issues, you will receive a reply within 24 hours.
Confirmation of your booking will arrive within 24 hours of completing the Booking Form. Your time will be booked as soon as the Booking Form is read by the scheduler, in the order the emails are received. In the rare occurrence of an appointment time being double booked, the second client will be contacted to make a change in their booking.
Once booked your appointment will have 1 full hour from the scheduled starting time, plus the additional 15 minutes prior to your scheduled starting time to allow for set-up. For example, a 1:00 pm appointment will start at 12:45 pm and end at 2:00 pm.
On the day of the Appointment:
Arrive at Forbes Hall 15-20 minutes prior to your appointment time. You will be met by a Care Station Attendant who will guide you to the Virtual Care station, the equipment and computer. The volunteer will leave and will wait for you in the library.
If you are using a trusted friend or family member’s email, they will need to attend with you to login, open the virtual appointment, and log out at the end of your appointment.
Using the Computer provided:
Login to the Client page on the computer, this may have been done by the Care Station Attendant volunteer.
Login to your email’s webpage, using your email address and password.
Open the link to the Virtual Appointment that was sent to the email. This could be via Virtual Care, Zoom, FaceTime or another application that your medical provider uses. Follow onscreen instructions
Your medical provider will let you into the Virtual Room when they are ready to meet with you. This may take up to 30 minutes after your appointment's scheduled start time (just like appointments at your doctor’s office).
Using your own device – access your health care provided as you would any online virtual meeting, using the links provided.
During the appointment, should the WiFi or computer systems fail for any reason, please contact your medical provider’s office by the landline provided in the room (dial 9 to get an outside line). In turn, if you experience medical distress, they have the landline and location to get you help immediately.
The Care Attendant will do a check approximately 40 minutes from the start of your appointment. This is a safeguard, making sure you are okay. When they knock - just say ‘OK’.
When the appointment is complete:
Ensure you log out of all screens to ensure your information remains confidential.

The Care Attendant will ensure equipment and computers are then properly stored and that the facility is secured.
As this is a new service, any suggestions by users on improving the service are gratefully appreciated.
Fill out the provided survey upon the completion of your appointment – leave with the Care Attendant or drop in the mail.
